"We are currently an MEP contractor for a pharmaceutical project in the UAE. We are looking for a qualified cleanroom technology solution supplier to quote the HVAC system for this project."
This is an inquiry we received a few days ago. The client is an engineering company based in the UAE, acting as the MEP (Mechanical, Electrical, Plumbing) contractor for a pharma project. They needed a dedicated cleanroom HVAC system. The attachment contained a detailed RFQ, equipment list, and a preliminary layout.
This is not standard office air conditioning – it's pharma cleanroom HVAC.
Pharma cleanroom HVAC is far more complex. It must control not only temperature and humidity but also:
Air change rate and cleanliness class (ISO 14644-1)
Positive/negative pressure differential (to prevent cross-contamination)
HEPA/ULPA filtration (≥99.97% efficiency at 0.3μm)
Materials and construction (non-shedding, corrosion-resistant, easy to clean)
As an MEP contractor, the client might not be fully familiar with cleanroom-specific equipment (FFUs, air showers, pass-through boxes) and how to match them. So what we received was not a perfect URS, but a “needs further clarification” request.

Hour 1: Acknowledge + Ask key questions

Asked several key clarifications:
Target cleanliness class (ISO 5/6/7/8? GMP A/B/C/D?)
Room dimensions, height, and envelope material (will it be supplied by others?)
Do we need to supply the complete cleanroom (walls, ceiling, floor, doors, HVAC) or just the HVAC part?
Do they have a URS or technical specification?

Hour 12: Internal technical analysis
Our HVAC engineer made a preliminary plan based on the client’s RFQ and our clarifying questions:
Calculated total airflow and number of FFUs based on room area and cleanliness class.
Selected the appropriate AHU type (direct expansion vs. chilled water, depending on local climate).
Listed major equipment: FFUs, HEPA boxes, dampers, pressure gauges, temperature/humidity sensors, etc.
Hour 24: Client sent back additional info
The client filled out our URS template the same day. They confirmed ISO 7 (GMP C) and noted that the envelope would be supplied by another vendor – we only needed to provide the HVAC system.
Hour 48: Submitted formal quotation and technical proposal
Within 48 hours we submitted:
A clear quotation (itemized: AHU, FFUs, ductwork, installation & commissioning, sea freight, optional third-party validation).
A technical proposal (system schematic, equipment parameters, control logic).
A delivery schedule (design 1 week → production 3 weeks → sea freight to UAE 4 weeks → installation 2 weeks, total ~10 weeks).
Client’s reply: “Very clear. We will arrange a technical meeting soon.”
