This was an inquiry we received last Tuesday, sent to our sales mailbox by an overseas engineering company. The project was located in North Africa. The customer did not provide a detailed URS (User Requirement Specification) – only a checklist and a GA drawing, asking for an "urgent quotation".
This kind of inquiry is actually quite common: customers need a cleanroom urgently, but they may not know how to fully express their technical requirements.
What did we do?
Within one hour, we replied to the customer:
Thanked them for the inquiry and the drawing.
Explained that, to provide an accurate quotation, we would need a simplified URS (User Requirement Specification).
Attached a cleanroom URS template that only requires 5–8 key items (about 10 minutes to fill in).
At the same time, gave an estimated lead time range (without waiting for a full URS) so the customer had a preliminary idea.
The customer sent back the completed URS that same afternoon. We worked overnight and completed:
Modular wall layout and preliminary HVAC design based on the GA drawing and URS.
A bill of materials (wall panels, doors, HEPA filters, FFU quantity, etc.).
A detailed quotation (CIF destination port + optional installation service + optional third-party validation).
A clear delivery schedule from design to handover (total approx. 77–85 days, including sea freight and customs clearance).
What was the result?
The customer replied with three words: "Very professional."
The next morning they confirmed initial intent and asked us to prepare a draft contract.
